This policy explains what we collect when you use www.callbook.agency, why we collect it, who we share it with, and how you can control it. We kept it short and plain.
Who this policy covers
This site and the services behind it are operated by ClickForge Group LLC, doing business as CallBook, 30 N Gould St #43484, Sheridan, WY, 82801.
The policy covers www.callbook.agency, our forms, our chat, our calls and text messages, and the work we do for clients.
It does not cover other sites we link to. Those sites have their own policies.
What we collect
Contact details you give us in a form, in chat, or on a call: name, business name, email, phone, website, state, and what you asked for.
Answers you give in our quiz, calculator, or audit request: industry, average ticket, current volume, response time, no show rate. All of it is about your business.
Marketing source data: UTM parameters, click identifiers such as gclid, fbclid, wbraid, gbraid and ttclid, the referring site, and the page you landed on.
Visit data: pages you opened, time on site, device type, browser, language, and approximate location from your IP address.
Consent records: the exact text of the box you checked, the date and time, your IP address, the page address, and your browser user agent.
Booking and billing data: the meeting you booked, the agreement you signed, and payment confirmations from our payment provider. We never receive or store your full card number.
We do not ask for health information. Our forms ask about your business, not about conditions, diagnoses, or treatments. Please do not send health details to us.
Why we use it
To answer your request, prepare your booking audit, and get a call on the calendar.
To deliver the services you buy, bill you, and support you as a client.
To send service messages about your request, your appointment, your agreement, and your payments.
To send marketing messages, but only if you agreed to them.
To see which ads and pages bring booked calls, and to make the weak ones better.
To keep the site secure, stop spam and fraud, and meet legal duties such as keeping consent records.
Our legal bases
Where a legal basis is required, we rely on your consent for marketing cookies, marketing email, and text messages.
We rely on our contract with you to deliver services, bill, and support you.
We rely on our legitimate interest to run and secure the site, measure results, and prevent abuse.
We rely on legal obligation for tax records, accounting records, and consent records for calls and text messages.
You can withdraw consent at any time. That does not undo what we did while the consent was valid.
Sharing inside our group
We may share your information with the affiliated companies of ClickForge Group LLC, doing business as CallBook and with the other brands it operates, so that they can help serve you: sales, delivery, billing, and support.
Those companies use the data only for the purposes in this policy and under the same rules.
We do not list those brands here. If you want to know which company handled your data, write to info@callbook.agency and we will tell you.
We do not sell your personal information for money.
Service providers
We use vendors to run the site and the service. They process data on our instructions only, under contract, and may not use it for their own purposes.
By category: hosting and databases, media storage, analytics and session recording, advertising platforms, email delivery, phone calls and text messaging, calendar and scheduling, payment processing, electronic signature and document storage, and an AI provider that powers the chat on this site.
The chat states that it is an AI and offers a human at any time. Chat transcripts are stored with your request so a person can follow up.
Some vendors are outside your state or country. When data moves, we use contract terms that keep the same level of protection.
We may also disclose data when the law requires it, to enforce our terms, or as part of a merger or sale of the business. In that case the buyer stays bound by this policy.
How long we keep it
Marketing source data, including UTM parameters and click identifiers: 90 days.
Requests, quiz and calculator answers, and chat transcripts: up to 3 years after our last contact, unless you ask us to delete them sooner.
Client records, signed agreements, and payment records: up to 7 years, because tax and accounting rules require it.
Consent records for calls and text messages: at least 5 years, because we may need to show what you agreed to and when.
Cookie choices: up to 12 months, then we ask again.
Server logs and security records: up to 12 months.
Your rights
You can ask us to tell you what we hold about you, give you a copy, correct it, delete it, or limit how we use it.
You can opt out of marketing email and text messages, of targeted advertising, and of the sharing described above.
We will not give you a worse price or a worse service for using these rights.
If we turn a request down, we will say why and tell you how to appeal.
California residents
Under the CCPA and CPRA you have the right to know, to get a copy, to correct, to delete, to limit the use of sensitive information, and to opt out of the sale or sharing of your personal information.
We do not sell personal information for money. We do share some data with advertising platforms to measure and target ads, and state law treats that as sharing.
To opt out, use the link "Do not sell or share my personal information" in the footer of every page. It turns marketing off, saves your choice, and records the opt out.
We honor the Global Privacy Control signal. If your browser or extension sends it, marketing is off by default and the cookie banner tells you that we received the signal.
An authorized agent may act for you. We will ask for proof that you gave permission.
Other US states
Residents of Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Delaware, Iowa, Nebraska, New Hampshire, New Jersey and other states with a privacy law have similar rights: to confirm what we hold, to get a copy, to correct it, to delete it, and to opt out of targeted advertising and of the sale of personal information.
We treat every request the same way, whichever state you write from, and we do not require you to prove residency before we answer.
If we refuse a request, you may appeal by replying to our answer with the word "Appeal". We review the appeal within 45 days and explain the outcome in writing. If we refuse again, your state attorney general can take a complaint.
How to send a request
Email info@callbook.agency with the subject "Privacy request" and tell us what you want us to do.
You can also write to ClickForge Group LLC, doing business as CallBook, 30 N Gould St #43484, Sheridan, WY, 82801.
We confirm within 10 business days and answer within 45 days. If we need longer, we will tell you why and take up to 45 more days.
We may ask you to confirm who you are, usually by replying from the email address we already hold.
Children
This site is for business owners and managers. It is not for children.
We do not knowingly collect information from anyone under 16, and we do not target anyone under 16 with ads.
If you believe a child sent us data, write to info@callbook.agency and we will delete it.
Security
Data moves over encrypted connections. Access to client data is limited to the people who need it, protected by two step login, and logged.
Agreements, exports, and backups are kept in private storage, reachable only through links that expire.
No system is perfect. If a breach affects your data, we will notify you and the authorities as the law requires.
Changes to this policy
If we change this policy, we update the date at the top of this page.
For important changes we post a notice on the site and, where the law requires it, ask for your consent again.
