The reminder sequence that keeps slots filled

An empty booked slot costs twice. You lose the visit that did not happen, and you lose the client you turned away to hold it. Reminders are the cheapest way to stop paying that bill.

Three messages, no more

A confirmation at the moment of booking, a reminder the day before, and a short note two hours ahead. Anything beyond that reads as pressure, and people start ignoring all of it.

Each message needs the time, the address, the name of the person they are seeing, and a one tap way to move the appointment. Nothing else.

Make rescheduling easy on purpose

Businesses hide the reschedule link because they are afraid of losing the slot. The slot is already lost when the client does not arrive, and a moved appointment can be refilled.

A client who reschedules three hours ahead gives you a chance to offer the time to somebody on the waiting list. A client who simply does not appear gives you nothing.

Match the channel to the message

Text messages get opened. Emails get searched for later. Use the text for the reminder and the email for details worth keeping, such as preparation instructions and parking.

Consent rules apply to every automated message. Collect it clearly at booking, record when and how it was given, and honor an opt out the moment it arrives.

Measure the right thing

Track the share of booked appointments that are kept, and track it by source. A channel that books well and shows up poorly is not the bargain it looks like in the ad report.

Once the kept rate is the number on the wall, reminders stop being an afterthought and become part of how the calendar is run.
