The no-show problem, and the three fixes worth making
A no-show is the most expensive thing in a service business. You paid to find the person, you held the time, and both are gone with nothing to show.
Count what it costs before fixing it
Take the revenue of an average appointment, add the cost of acquiring that booking, and multiply by the number of slots that went empty last month. The number is usually larger than anything else on the list of problems, and it is the one nobody has written down.
Measure the rate separately for first appointments and for returning clients. They fail for different reasons and the fixes are not the same.
Fix one: confirm when the booking is made
A booking that is never confirmed is an intention, not an appointment. The confirmation should arrive immediately, name the day, the time and the address, and include a way to change it in one tap.
Make changing easy on purpose. A moved appointment keeps the revenue and frees the slot in time to fill it. A client who cannot easily move simply does not arrive.
Fix two: remind twice, not five times
One reminder the day before and one on the morning of the appointment covers almost everything. More than that reads as nagging and gets muted, which costs you the reminder that mattered.
The morning message is the one that recovers slots, because that is when the day falls apart. Keep it short and put the reschedule link first.
Fix three: give the empty slot somewhere to go
When somebody cancels at short notice, the slot is only lost if nobody is offered it. Keep a short list of people who asked for an earlier time and send that slot to them automatically.
For consultations where no-shows are chronic, a small deposit credited against the treatment changes behaviour more than any reminder. Use it where the pattern justifies it, not everywhere, because it also costs you bookings.
