The 60-second reply rule

A new enquiry is not a record in a spreadsheet. It is a person with a phone in their hand who is contacting three businesses at once. The first useful answer usually wins the appointment.

What the clock is really measuring

Response time is usually reported as an average. An average hides the calls that matter. One reply in ten seconds and one in four hours average out to something respectable, while the second person has already booked elsewhere.

Measure the share of enquiries answered inside one minute, and measure it separately for calls, forms and messages. That single number moves the calendar more than any change to the ad.

Where the minute goes

In most businesses nobody is slow on purpose. The front desk is with a client, the owner is driving, the web form lands in an inbox that is read twice a day. The enquiry is not lost, it is queued, and the queue is the problem.

Write down the path an enquiry takes from the moment it arrives to the moment a human says something back. Every handoff on that path costs minutes and nobody on it is at fault.

What a fast reply has to contain

Speed without content books nobody. An instant message saying we will get back to you shortly buys a little patience and nothing else.

A first reply that works does three things: it answers the question that was asked, it offers two concrete times, and it makes booking one tap away. Everything else can wait for the conversation.

Nights, weekends and the rest of real life

Enquiries arrive when people are not at work, which means evenings and weekends. A business that answers only during opening hours has decided to lose everything that arrives outside them.

The answer is not a night shift. It is a short list of questions that can be handled the same way every time, a booking link that shows real availability, and one person on call for anything the list does not cover.

How to check yourself this week

Have someone call your main number twice during a busy hour, send your web form once in the evening, and message you on the channel your ads point to. Write down how long each reply took and what it said.
